THE RENTAL GUIDE
From the first quote to the final return.
A rental agreement is easier to compare when you know what your journey needs. Work through these steps before confirming a vehicle.
1. Describe the journey first
Write down your pickup and return locations, dates, passenger count and luggage. Consider whether the route includes city traffic, highway driving, narrow access roads or an early airport departure. Allow time for collection and inspection rather than planning to leave immediately.
Ask whether the arrangement is self-drive or includes a driver. For a driven trip, clarify working hours, waiting time, overnight arrangements and any additional driver charges. Do not assume the same terms apply to both options.
2. Compare the whole quote
Use the same dates and route when requesting quotes. A daily rate alone does not show the total you may pay.
| Item | Question to ask |
|---|---|
| Distance | How many kilometres are included, and how are extras charged? |
| Fuel | What fuel level is required on return, and are refuelling charges separate? |
| Route costs | Are tolls, parking, permits and applicable taxes included? |
| Deposit | How is it held, when is it released, and what may be deducted? |
| Changes | What happens for cancellation, a late return or an extended trip? |
| Damage | What cover, exclusions and excess apply to this agreement? |
3. Confirm the offered vehicle
A vehicle class does not always guarantee a particular model. Ask what will actually be supplied, whether substitution is allowed and what happens if it does not meet your needs. Check transmission, seating, luggage space and any child-seat arrangements. Our vehicle guide helps you compare the main tradeoffs.
4. Inspect at collection
- Walk around the car with the provider and photograph existing marks.
- Record fuel level and mileage on the agreement.
- Check lights, tyres, seat belts and the agreed accessories.
- Ask where the emergency equipment and assistance instructions are kept.
- Keep a copy of the signed agreement and assistance contact details.
5. Agree on a clear return
Confirm the exact location, opening times, fuel requirement and procedure for an out-of-hours return. If possible, complete the return inspection with the provider and request a written record. Keep fuel receipts and the final bill until the deposit has been settled.
A simple comparison example
If one quote includes a shorter distance allowance, it may cost more for a long day trip even when its daily rate is lower. Estimate your route distance, add a reasonable margin for local travel and compare both quotes at that distance. Ask how partial days and extra hours are counted.
